What is a stock statement?

If you have a cash credit (CC) or working capital limit against stock and book debts, your bank asks for a stock statement — usually every month. It declares what stock you hold, what you are owed by customers, and what you owe suppliers, as on a date.

From it the bank works out your Drawing Power: the most you are allowed to draw right now. Drawing Power moves every month with your stock and debtors, which is why the statement is a recurring obligation and not a one-time form.

Submit it late, or submit figures that do not tie to your books, and the branch can classify the account as irregular — which affects your limit at renewal and, in the worst case, your credit rating.

The Drawing Power formula

  1. 1Paid stock = eligible stock − creditors for purchases
  2. 2DP against stock = paid stock × (100% − stock margin%)
  3. 3DP against debtors = eligible debtors × (100% − debtor margin%)
  4. 4Drawing Power = DP against stock + DP against debtors
  5. 5You may draw the lower of Drawing Power and your sanctioned limit

The order matters

Creditors must come off the stock value before margin is applied, not after. Applying margin first and then deducting creditors understates your DP by the margin percentage of your creditors — on ₹10 lakh of creditors at 25% margin, that is ₹2.5 lakh of drawing power you were entitled to and did not get. Your bank's own annexure deducts creditors first; so do we.

A worked example

A Jaipur textile unit with a ₹50 lakh CC limit, as on 31 July:

The limit is ₹50 lakh but the Drawing Power is ₹12.46 lakh, so this unit may draw ₹12.46 lakh — not the sanctioned limit. That gap is the single most common surprise on a stock statement.

Common mistakes that get a statement rejected

  • Including stock you have not paid for, without showing the creditors against it.
  • Counting debtors older than the ageing limit in your sanction letter.
  • Using a margin you assumed instead of the one printed in the sanction letter.
  • Stock value that does not tie back to your books or your GST returns.
  • Uninsured stock, or an insurance policy that lapsed mid-period.
  • Quantities that do not reconcile: last month's closing must be this month's opening.
